Legal terms and conditions for using our castle tour services

These Terms of Service ("Terms") govern your use of the Voyagee Insights website (voyagee-insightss.com) and our castle tour services. By accessing our website or booking our services, you agree to be bound by these Terms.

Voyagee Insights is a tour operator specializing in heritage castle tours throughout the United Kingdom, operating under UK tourism regulations and consumer protection laws.

2. Acceptance of Terms

By using our website, booking our services, or participating in our tours, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, please do not use our services.

2.1 Eligibility

You must be at least 18 years old to book our services. If you are booking on behalf of minors, you accept full responsibility for their participation and behavior during tours.

2.2 Authority to Book

By making a booking, you warrant that you have the authority to make the booking for all persons included in your reservation and that all information provided is accurate and complete.

3. Booking and Payment Terms

3.1 Booking Process

Bookings can be made through our website, by phone, or via email. All bookings are subject to availability and confirmation by Voyagee Insights.

3.2 Payment Terms

  • A deposit of 25% is required to secure your booking
  • Full payment is due 30 days before your tour date
  • Bookings made within 30 days of travel require immediate full payment
  • We accept major credit cards, bank transfers, and PayPal
  • All prices are in British Pounds (GBP) and include VAT where applicable

3.3 Price Changes

Tour prices are confirmed at the time of booking. We reserve the right to adjust prices due to:

  • Significant changes in transportation costs
  • Changes in government taxes or fees
  • Currency fluctuations (for international bookings)
  • Force majeure events

Any price increases will be communicated at least 30 days before your tour date.

3.4 Group Bookings

Special terms may apply to group bookings of 10 or more people. Group rates and payment schedules will be agreed upon separately in writing.

4. Cancellation and Refund Policy

4.1 Cancellation by Customer

You may cancel your booking subject to the following charges:

  • More than 60 days before tour: Full refund minus 5% administrative fee
  • 31-60 days before tour: 50% refund
  • 15-30 days before tour: 25% refund
  • Less than 15 days before tour: No refund

4.2 Cancellation by Voyagee Insights

We reserve the right to cancel tours due to:

  • Insufficient bookings (minimum 4 participants required)
  • Severe weather conditions
  • Force majeure events
  • Safety concerns

In case of cancellation by us, you will receive a full refund or the option to reschedule to another available date.

4.3 No-Show Policy

Failure to appear for your tour without prior notice will result in forfeiture of all payments made.

4.4 Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to protect against unforeseen circumstances that may affect your ability to travel.

5. Tour Participation and Conduct

5.1 Physical Requirements

Our castle tours involve walking on uneven surfaces, climbing stairs, and spending time outdoors. Participants should have a reasonable level of fitness. Please inform us of any mobility issues or special requirements when booking.

5.2 Age Restrictions

While we welcome families, some tours may have age restrictions due to safety concerns. Children under 16 must be accompanied by an adult at all times.

5.3 Conduct Expectations

Participants are expected to:

  • Follow all safety instructions from guides and venue staff
  • Respect historical sites and artifacts
  • Be punctual for scheduled meeting times
  • Behave respectfully toward other participants and staff
  • Comply with photography restrictions at heritage sites

5.4 Removal from Tour

We reserve the right to remove participants who:

  • Endanger themselves or others
  • Behave inappropriately or disruptively
  • Fail to follow safety instructions
  • Are under the influence of alcohol or drugs

No refund will be provided for removal due to misconduct.

6. Safety and Liability

6.1 Our Responsibilities

Voyagee Insights commits to:

  • Providing qualified and experienced tour guides
  • Maintaining comprehensive public liability insurance
  • Following all relevant health and safety regulations
  • Conducting regular risk assessments of tour routes
  • Providing emergency contact procedures

6.2 Participant Responsibilities

Participants are responsible for:

  • Their own personal safety and possessions
  • Informing us of any medical conditions or special needs
  • Following all safety instructions and guidelines
  • Wearing appropriate clothing and footwear
  • Carrying necessary medications

6.3 Limitation of Liability

Our liability to you is limited to the amount paid for your tour booking. We are not responsible for:

  • Personal injury due to your own negligence
  • Loss or damage to personal property
  • Costs arising from delays or cancellations beyond our control
  • Additional expenses due to itinerary changes
  • Consequential or indirect losses

6.4 Force Majeure

We are not liable for failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, terrorism, government actions, or pandemic restrictions.

7. Itinerary and Service Changes

7.1 Right to Modify

We reserve the right to modify tour itineraries due to:

  • Closure of heritage sites
  • Weather conditions
  • Road closures or transportation issues
  • Safety concerns
  • Unforeseen circumstances

7.2 Alternative Arrangements

When changes are necessary, we will provide suitable alternatives of equivalent value whenever possible. No compensation is due for minor itinerary adjustments.

7.3 Venue Closures

If a castle or heritage site is unexpectedly closed, we will substitute with an alternative site of similar historical significance.

8. Photography and Media

8.1 Use of Images

By participating in our tours, you consent to Voyagee Insights using photographs or videos taken during the tour for promotional purposes, unless you specifically opt out in writing.

8.2 Photography Restrictions

Some heritage sites have photography restrictions. Participants must comply with all venue rules regarding photography and filming.

  2. Contact us within 7 days of your tour completion
  3. Provide detailed information about your concerns
  4. We will investigate and respond within 14 days

11.2 Escalation

If you are not satisfied with our response, you may escalate your complaint to:

12.2 Transportation

When transportation is included, we use licensed and insured operators. Transportation providers' terms and conditions may also apply.

12.3 Accommodation

For multi-day tours, accommodation is provided by third-party hotels or guesthouses. We select accommodations based on quality standards but are not responsible for issues arising directly from accommodation providers.

13. Communication and Marketing

13.1 Contact Preferences

By booking our services, you consent to receive essential communications about your booking via email, phone, or SMS.

13.2 Marketing Communications

We will only send promotional materials if you have specifically opted in. You can unsubscribe at any time.

13.3 Reviews and Feedback

We may request feedback and reviews after your tour. Participation in review requests is voluntary.
